Transfer Your Agreement (TYA) Service
Looking to leave us before your agreement term is up? Well, we’ll be sad to see you go, but here’s a good option for you!
What it is:
This is a 1:1 transfer of your agreement to another eligible student (similar to a sublet). If you know a student or are able to find one that is looking for a place to stay for the remainder of your agreement term, they will relieve you of your financial responsibility for that timeframe. This is a great option if you have a 3-semester agreement with us and decide to go home for the summer months, or if you need to leave us earlier in the year for any other reason!
How it works:
Who is considered an eligible student?
In order to make things a little easier for you when finding someone to take over your space, we are open to anyone participating in an internship or co-op program (this is especially helpful in the summer), in addition to regular post-secondary students. As long as they’re able to provide supporting documentation while applying (anything that proves they have student status), they are eligible. Current HOEMies that already reside in the building are not eligible to take over someone else’s agreement.
How do I ensure my agreement is successfully transferred to this student?
Email us at jarvis@hoem.ca with their name and information and the HOEM team will provide all the instructions you both need! All the incoming student will need to do is apply through the HOEM Portal and pay the first installment. They’ll be able to register for an account, and from there they’ll be able to fill out our application the same way you did. Once the HOEM Team has received their application, we’ll reach out to you via email to finalize everything.
What are the room rates for the incoming student?
The incoming student will be paying the same weekly rate as you. The way we calculate their total fees is: weekly rate, multiplied by the number of weeks they’ll be staying here (i.e. from whatever their start date may be, until the end of your agreement term). Your specific room rate will be outlined on your Residence Confirmation Letter, but if you’re uncertain what it is we’d be happy to clarify for you if you send us an email!
Will the incoming student be placed in the same exact bedroom as me?
Yes! Since we are at full occupancy for the upcoming semester, an incoming student will have to be placed in your exact bedroom. This means that you should clarify the room style (2, 3 or 4-bedroom) and housing rates you have with the new student as well as look for individuals with the same gender preferences as your suite.
When can the incoming student move in?
The start date of their stay is dependent on what you work out with them. Essentially, this can be at any point during your agreement term! There just needs to be 48 hours in between the time you check-out and the time they move-in, just so we can make sure everything is clean and prepped for their arrival, so please plan accordingly. Please also note that their end date will need to match your end date, in order for the transfer to be valid. The new student can choose their move-in date but their move-out date will be the same as what is indicated on your Residence Confirmation Letter. If you are transferring your one semester agreement, their end date will be December 17th 2023 or April 17th, 2024 for the Fall or Winter semester respectively. If you are transferring your two semester agreement their end date will be August 19th, 2023 or April 27th 2024. If you are transferring your three semester agreement their end date will be August 19th, 2023 or August 17th, 2024. Again, please refer to your residence confirmation letter for the move-out date indicated for your specific housing term.
What if the incoming student wants a different end date than what I’m registered for?
If your agreement ends in April and they would like to stay until August, that’s no problem! They can take over your agreement until April 29th, 2023, and we can arrange for those additional months directly with them. If you are staying with us until August and they would only like to stay until April, it will become their responsibility to transfer their agreement for the summer months since their agreement will still end on either August 19th, 2023 or August 17th, 2024.
Is there a fee associated with this service?
Yes, there is a $100 administrative processing fee that goes along with us ending your contract and creating a new one for the incoming student. But don’t worry, you won’t need to pay this upfront – we’ll either add this to your final amount outstanding or deduct it from your final refund amount depending on what you’ve paid at the time of transfer.
